THE CLUB MEETING
 

A Toastmasters club meeting consists of the following:


Prepared speeches

Several members present speeches based on projects in the Competent Communication and Advanced Communication manuals.  Speeches will usually take between 5 and 7 minutes.


Evaluations

Each prepared speech is verbally evaluated by a fellow member in a helpful, constructive manner using given evaluation criteria.  In addition, the evaluator prepares a written evaluation for the speaker, and all members are invited to submit written comments to the speaker too.


Table Topics

In this part of the meeting members have an opportunity to present one-to-two minute impromptu talks on subjects decided by the  Table Topics Master.
 

Voting

A vote is taken of all members for:  Best Speaker; Best Table Topics, Best Evaluator.


The Club President welcomes everyone and Guests at the beginning of the meeting, and introduces the Toastmaster for the evening.  He/she presents Certificates to the winning speakers at the end of the meeting. 

The Key Roles of a Toastmasters meeting are as follows: 


Toastmaster:

The main duty of the Toastmaster is to act as a genial host and conduct the entire meeting programme as it is detailed in the printed Agenda for the evening, including introducing participants. 

The Toastmaster agrees and prepares printed copies of the Agenda for the evening


Grammarian: 

The Grammarian’s responsibilities are to comment on the use of English during the course of the evening, and to introduce a new word to members, the Grammarian also notes “ums” and “ahs”.  At the end of the evening the Grammarian makes a report to the meeting which covers, not only poor grammar and “ums” and “ahs”, but also well expressed and creative usage of English and the “word of the day”.


Timekeeper: 

Records the time speakers take for both prepared speeches and Table Topics.  Operates the lights – green, orange, red to suit prepares speeches (for 5-7 minute speech – green at 5; orange at 6; red at 7 minutes: for Table Topics green at 2; orange at 2.30; red at 3 minutes). As required by the Agenda reports the time of speeches.


Table Topics Master:

Prepares and issues the topics for speakers, these should have a common theme; announces the topic and then nominates a speaker.


Speech Evaluator:

Gives an oral evaluation of the allocated speech, noting the speakers attainment of the objectives detailed in the manual for prepared speeches.  Evaluations should be constructive and encouraging and suggestions should be made for future improvement; if appropriate they should cover, not only, the subject of the speech but also the speaker’s voice, any mannerisms, speaking aids etc. 


Table Topics Evaluator:

Gives a brief oral evaluation of all the Table Topics speeches


General Evaluator:

Evaluates comments on anything and everything that takes place throughout the meeting, covering especially the roles which have not been separately evaluated e.g. the Grammarian, the Speech Evaluators and the Table Topics Evaluator.


Note:

All Speakers initially address the meeting as follows: Mr/Madam Toastmaster (or Mr/Madam Table Topics Master, as appropriate); Fellow Toastmasters; Most Welcome Guests (when there are Guests!).
